Functions Coordinator
Holman Barnes Group – Ashfield, NSW

Holman Barnes Group (HBG) brings together three vibrant Inner West destinations, Wests Ashfield, Croydon Sports Club and Markets Club, each known for exceptional hospitality, entertainment and strong community connection.
With more than 30,000 members and a team of 100+ employees, this Club group is entering an exciting phase of redevelopment and strategic growth. As the venues evolve, so does their Functions business, allowing exciting growth plans and the onboarding of a driven, detail-focused Functions Coordinator to help take it to the next level.

About the Role
Reporting to the Marketing & Community Engagement Manager, this role sits within the Marketing & Community team and plays a key part in growing and delivering the functions and events portfolio.
You will be the central point of contact for functions across all venues, managing enquiries, preparing quotes, coordinating external caterers and contractors, and ensuring every event is executed seamlessly and professionally, from start to finish.
This is a hands-on, commercially minded role that combines client relationship management, operational coordination and marketing support. You will work closely with Site Managers, caterers and internal stakeholders to ensure events are on brand, on time and aligned with HBG’s strategic objectives.

Key Responsibilities
  • Coordinate functions end-to-end, from initial enquiry and quoting through to execution and post-event follow-up
  • Act as the primary contact for clients, caterers and contractors, ensuring seamless communication and delivery
  • Support the growth of the Functions business through targeted marketing initiatives, relationship-building and identifying new opportunities
  • Prepare event documentation, run sheets and internal handovers to ensure operational excellence
  • Monitor client feedback and campaign performance, contributing to continuous improvement
  • Provide administrative and general support to the Marketing & Community team as required
  
About You
You are organised, proactive and customer-focused, with a genuine passion for delivering exceptional experiences.
You will bring:
  • Exceptional verbal and written communication skills
  • Strong planning and organisational ability with excellent attention to detail
  • A positive, solutions-focused attitude and strong work ethic
  • Experience in events, functions, marketing or hospitality (Club industry experience highly regarded)
  • Intermediate Microsoft Office skills (Word, Excel, Outlook)
  • Flexibility to work varied hours in line with event schedules
  • RSA & RCG (essential)
  • Current Driver’s Licence
